IMMUNOLOGY2020™ Cancellation FAQs
Dear IMMUNOLOGY2020™ Members and Meeting Participants:
As you know by now, due to the very difficult circumstances created by the global COVID-19 pandemic, AAI regretfully cancelled IMMUNOLOGY2020™ scheduled in Hawaii.
Please see the list below of FAQs and answers to assist you. If we have not addressed something about which you have a question, please send an email to meetings@aai.org and we will respond as soon as possible.
I’d like to thank the many members who sent heartfelt messages of support. We are overwhelmed by your dedication and loyalty to AAI, and we salute you for all you do. We wish you all the best health as we navigate these difficult times together.

REGISTRATION REFUNDS
What is the refund policy for registration, including activities and publications?
AAI has adjusted its registration refund policy for IMMUNOLOGY2020™. All meeting registrants will receive a full refund for their registration, tickets and activities, and any publication they purchased (scientific program and/or abstract book). Your registration and all purchases will be cancelled automatically, and a refund processed. No action is required by you.
How will I receive my refund?
- If you paid by credit card, your account will be credited.
- If you paid by check, you will be issued a refund by check.
- If you paid by wire transfer, you will be contacted by AAI via email to arrange a refund.
I cancelled my registration before the meeting was cancelled and was charged a $75 cancellation fee. Will that fee be refunded and how?
Yes. This fee will be refunded as described above.
May I apply my registration fee to IMMUNOLOGY2021™?
No. Registration for this future meeting is not available yet.
PROGRAM AND ABSTRACT BOOKS
I no longer want the Program and /or Abstract Book I purchased within my registration. Do I need to cancel my orders?
No. All orders will be automatically cancelled.
I purchased a Program Book. Will I still receive this?
No. This is no longer available. All purchases will be reimbursed.
I purchased an Abstract Book when I registered. Will I still receive it?
No. All initial purchases will be cancelled. Abstracts, however, will be published and you can purchase an Abstract Book with a new transaction (see next question).
Can I still purchase an Abstract Book if I didn’t do it before now?
Yes. Please email aai@xpressreg.net by April 15, 2020, if you still wish to purchase the Abstract Book. Printed Abstract Books will be mailed directly to each purchaser in mid-May.
ABSTRACTS
Will I receive a refund of my abstract submission fee?
No. AAI will not refund abstract submission fees because the abstract submission, programming, and editing processes have been completed.
Will my abstract still be published?
Yes. Unless withdrawn, all abstracts successfully submitted and programmed for IMMUNOLOGY2020TM will be published online in a supplement to The Journal of Immunology. They will also appear in a printed Abstract Book available for purchase.
May I withdraw my abstract from publication?
Yes. Please email meetings@aai.org by 11:59 PM EDT, April 15, 2020, to withdraw your abstract from publication. No abstracts will be withdrawn after this time.
Will I get a refund if I withdraw my abstract?
No. AAI will not refund abstract submission fees because the abstract submission, programming, and editing processes have been completed.
HOTEL RESERVATIONS
Do I need to cancel my hotel reservation?
All reservations booked through the AAI official housing vendor, onPeak, will be cancelled automatically without penalty. No action is required by you.
Any group block contracted through the AAI official housing vendor, onPeak, will be cancelled automatically without penalty. No action is required.
If you did not use the AAI official housing vendor, onPeak, and booked housing through other sources or directly with the hotels, you must cancel your own reservation. AAI cannot contact the hotels on your behalf.
If you wish to book a hotel reservation in Hawai’i, you must contact your preferred hotel directly to make a new reservation.
AIR TRAVEL
Will participants be reimbursed by AAI for airline tickets?
No. AAI will not reimburse individuals for airline ticket purchases. For cancellations, refunds, vouchers, or information about change fees, you will have to contact your airline directly. AAI cannot contact the airlines on your behalf.
TRAVEL AWARDS
I was selected for a Travel Award (or Travel Grant). Will I still receive it?
